Choosing a launch party idea can be tricky, especially in a saturated market where you want your work to stand out. Finding a launch venue to do it in is even harder!

Fear not, though; in this article we’re going to look at seven launch party ideas, and at what each one needs from a venue. After that, I’ll cover a few rules on sound and alcohol (New York-specific, but can probably be extrapolated to other locations too as a general guideline), plus recommendations on three venues I’d book.

Explore our Top Venues and find the perfect space!

Seven Launch Party Ideas

The seven formats below range from a two-hour cocktail reception to a DJ-led night. For each one, I’ve described the format first, and then what you’ll want from the venue.

1. A Cocktail Hour With a Hard Stop

A cocktail hour launch runs for roughly two hours of drinks and canapés, with no seated dinner. Guests arrive, see the product, hear a short svayapeech and head off at a set time.

For this format, ask the venue for its standing capacity. The standing capacity is the number of guests the room can hold with no tables set out.

Make sure to ask where the bar will go as well. Guests head for a drink the moment they arrive. A bar right next to the door means your first 50 guests will queue in the entrance.

When you view the venue, walk the route from the front door to the bar yourself. Casa Brutal has two bars. With 150 guests, you can split the queue between the two.

2. A Sip and Shop

A sip and shop launch puts your product on sale alongside the drinks. Guests can try the product and buy it on the night, so it’s a format more suited for fashion and beauty brands.

You’ll want a table where your team can take payments and wrap purchases. You’ll also want a stock room out of sight of the guests.

Personally, with a sip and shop I’d set the product out in the middle of the main floor, with the bar at the far end of the room. Guests then walk past the product on their way to a drink (remember, if you’re serving alcohol, read the section on the alcohol permit further down!).

3. A DJ-Led Night

A DJ-led night builds the evening around a DJ set, with the speeches kept short at the start. For a DJ-led night, you’ll need to know early whether sound is already in the room.

Ask whether the venue has its own sound system. Then ask whether DJ equipment comes with the hire, or is charged as an add-on.

Casa Duende has a custom-made sound system, with DJ equipment available for an extra fee. Casa Brutal has no built-in sound system. Sound comes in as a rental there.

A sound rental for the evening is a separate line in your budget. Make sure to price it from the start. If sound is central to your launch, there are other venues built around sound in our collection.

4. A Seated Dinner for the Core List

A seated dinner launch keeps the guest list short and puts everyone around the table with the founders. This format usually suits press and a brand’s closest customers. A seated launch dinner will typically runs for about three or four hours, with speeches between the courses.

You’ll want a working kitchen on site. A kitchen lets the caterer prep in the building. That usually brings the quote down.

Ask the venue for its seated capacity and its standing capacity as two separate numbers. The seated figure is usually much lower. Casa Brutal, for example, holds 220 guests standing and 120 seated.

5. A Rooftop Reception

A rooftop reception runs the drinks outdoors, with the skyline behind your product. Rooftop receptions are popular from late spring into early autumn. There are plenty of rooftop party venues across the city to choose from.

Book a venue where your full guest count also fits indoors. If it rains, you’ll need somewhere inside for everyone.

Our SuperConcierge team can coordinate tents and electric heaters for the outdoor area. Keep in mind that some rooftops don’t allow live music.

Casa Duende’s rooftop has a built-in bar where liquor may be served. Music performance on the roof isn’t permitted under city guidelines.

6. A Screening With a Party After

A screening launch shows your campaign film first, then opens the bar. Guests arrive for a set start time. Everyone then watches the film together.

You’ll want a projector and a room you can black out properly. Ask whether the venue has blackout shades, or whether they’ll need to be rented in. Casa Brutal has an 80-seat screening room with a projector and screen.

Ask how long the changeover takes as well. The changeover is the job of clearing the screening seats and turning the room into a standing bar. With the venue’s own furniture, it often takes around 20 minutes.

7. A Collaborative Launch With a Second Brand

A collaborative launch splits the cost with another brand. It also brings both brands’ guest lists into one room. This works best when the two brands are roughly the same size.

Agree early on how many invitations each brand sends. Then decide whose team greets guests at the door.

Agree the signage split in writing. Send both logos to the venue in advance as well. Facade signage needs pre-approval, whichever brand is paying for it.

If your launch lines up with the shows in September or February, look at a launch that sits inside fashion week. For a bigger footprint with a set or an installation, look at a brand activation with a build.

If you’re planning a press preview or a retail residency, you’ll find both among our product launch ideas.

Settle the Finish Time Early

The finish time is the hour your party ends and the last guest leaves the venue. Settle it in your first planning meeting, alongside your guest count.

A residential venue in New York will typically wrap up earlier, often around 11pm. Commercial and mixed-use properties can go later. Casa Duende on the Lower East Side, for example, holds mixed-use zoning and events there can run until 2am. Commercial properties in our portfolio, including Casa Panorama, Casa Janka, Casa Brutal, Casa Adrià, Casa Arbus and Casa Arbre, can also accommodate events past 11pm.

Finish times still vary from one property to another. Check the listing for each venue on your shortlist and ask about it on your first call.

If your venue does wrap up at 11pm, that doesn’t have to end the night. Pick a neighbourhood with bars close by and your guests can walk on to an afterparty.

We say this a lot, but settle the finish time early. It can change which venues make sense for your launch.

The Noise Limits From 10pm

The NYC noise code sets limits on amplified music from commercial venues between 10pm and 7am. Music is capped at 42 decibels, measured inside a nearby home.

There’s a second limit on the street. The music can’t go over 7 decibels above the ambient sound level, measured 15 feet away.

The ambient sound level is the background noise of that street with your party switched off. A busy avenue already has a high ambient level.

A residential side street has a much lower one. The same DJ set will go over the limit there at a lower volume.

Bass is measured separately, on what the code calls the C scale. Where the ambient level is above 62 dB(C), bass can’t exceed 6 dB(C) above it, according to the decibel limits in the city’s guide.

A Sample Timeline for a Three-Hour Launch Party

A three-hour launch party from 6:30pm to 9:30pm wraps up ahead of the 10pm noise limits. Here’s how that evening could run, with set-up and breakdown on either side.

Your caterer and your sound team could arrive around 3pm for load-in. Load-in is the window when suppliers bring their equipment into the venue. The Casa Manager coordinates their arrivals and access to the building.

Doors open at 6:30pm, with drinks served and the product on show. The speeches start at 7:15pm and run for about ten minutes.

From 7:30pm, the DJ plays through to the end of the evening. The music stops at 9:15pm, and the last guests leave by 9:30pm.

Breakdown then runs until around 11pm. That schedule fills an eight-hour booking from 3pm. Eight hours is the minimum booking at Casa Brutal.

City Rules for a Launch Party in New York

New York has rules on alcohol and on guest numbers for a launch party. Facade signage needs sign-off as well.

The Alcohol Permit

A caterer serving alcohol at a venue without its own liquor licence needs a Caterer’s Alcohol Permit from the New York State Liquor Authority. The permit covers one event only.

Food has to be served at that event. A drinks-only party won’t qualify under this permit.

Ask your caterer who is holding the permit. Make sure to get that answer in writing.

Guest Numbers

A venue where 75 or more people gather indoors needs a Place of Assembly Certificate of Operation from the Department of Buildings. The certificate is the city’s confirmation that the room is safe for a crowd of that size. For outdoor space, the threshold is 200 people.

A guest list of 70 and a guest list of 80 mean you’ll be deciding between markedly different types of venues. Try to fix your number early.

Check the journey in for your guests too. Look up the nearest accessible station for each venue on your list.

Facade Signage

Facade signage is any sign or banner fixed to the outside of the building. In New York, city rules and landmark rules both apply to it. It needs pre-approval before it goes up.

Send your final creative to our ops team in advance. A liquor brand once put up an unapproved bar sign at Casa Duende. The police turned up.

On the Day

Our Casa Managers coordinate vendor arrivals and access for every booking. They also coordinate art moves and the day-of logistics with your production team.

Pro tip: ask the venue whether your rental vendor can deliver and collect on a business day. Some venues allow it for a small fee. That can take the weekend surcharge off the vendor’s invoice.

Planning Your Launch Party

Settle the finish time first. A DJ-led night and a two-hour cocktail reception need markedly different venues. Once you’ve picked from these launch party ideas, check the sound limits and the alcohol permit for each venue on your list.

We say this a lot, but choose the format and the venue together. Browse our party venues in NYC, or get in touch with the team and tell us about your launch. Let’s get it in the diary!
