So, where do you actually take the team? If you’ve already priced up a hotel conference floor and found it a bit joyless, you are in the right place.

Below are ten of the best offsite team meeting spaces in NYC, ordered by hourly rate so you can find your budget quickly, with capacities and AV specs for each.

Why Teams Book Unconventional Offsite Spaces

The obvious reason is that a room with daylight and a working kitchen produces a better day than a windowless breakout room. The less obvious one is scheduling. Gallup’s research on hybrid work suggests hybrid arrangements have settled rather than reversed, so for a lot of teams the offsite is now the main occasion the whole group is physically together.

That raises the stakes on the venue, since you are no longer choosing a backdrop for a routine meeting but the setting for the two or three days a year that carry the culture.

Unconventional venues also tend to give you more room per dollar. You are renting a whole townhouse or loft rather than one floor of a shared building, which means breakout areas, outdoor space and a kitchen come with the booking instead of appearing as line items.

At Cocoon, we specialize in offering unique and unconventional meeting spaces designed to elevate your meetings. Our diverse portfolio includes residential-style spaces, commercial venues, and properties with outdoor areas, providing the perfect backdrop for a variety of meeting types.

How to Choose an Offsite Meeting Venue

Five things settle most bookings, and it is worth working through them in this order.

Headcount and format first. A venue that holds 50 comfortably for a seated session will feel tight if you want people moving between groups, so ask for the seated figure rather than the standing one.

Then connectivity. Ask for the measured Wi-Fi speed rather than a yes-or-no answer. Casa Escondida runs at 380 Mbps and Casa Aurora at 370 Mbps, which will carry a full day of video calls with a room of laptops open underneath.

Then the kitchen. Offsites need good food! Somewhere for a caterer to actually work makes the difference between a proper lunch and a stack of delivery boxes, so ask what is in the kitchen rather than whether there is one.

Then access. This is the one teams check last and regret most. Casa Arbre and Casa Brutal are ADA-compliant with street-level entrances. Several of our other venues have passenger elevators without being ADA-accessible, and a couple are stairs only, so raise access requirements at the enquiry stage rather than after you have shortlisted.

Then the finish time. Residential venues in NYC observe an 11pm curfew under Mayor’s Office guidelines. Casa Duende is the exception, with mixed zoning that allows events until 2am.

What Offsite Meeting Spaces Cost in NYC

Pricing is the thing almost nobody publishes, so here is ours in full.

Across the venues below, offsite meeting rates run from $275 an hour at the lower end to $1,850 an hour for a full-floor Chelsea loft, with most sitting between $400 and $700. Eight-hour minimums are standard, and Casa Arbre runs a six-hour minimum. Cleaning and Casa Manager fees sit on top of the hourly rate, and corporate event rates are higher than offsite meeting rates at the same venue, so say which you are planning when you enquire and we will quote the right line.

For a sense of the wider market, listings marketplaces put the NYC average around $180 an hour, though that figure is held down by small coworking rooms seating 14 to 25. At the other end, full-service offsite producers quote $8,000 to $15,000 for a day and $20,000 to $30,000 for a premium buyout, usually with a 22 to 26 percent service charge. Wherever you land, NYC sales tax of 8.875 percent applies on top.

One practical way to bring the total down: ask whether rentals can be delivered and collected on a business day instead of at the weekend. Vendors typically add a weekend surcharge, and plenty of venues will accommodate a weekday window for a small fee.

Outdoor Options and Two Just Outside the City

Casa Escondida and Casa Caeli are the two we suggest most often when the brief asks for outdoor space, since both give you a proper garden or roof rather than a token balcony. Casa Arbre and Casa Estrella both have patios that work well for breaks.

If you are willing to leave the city, two spots reward the trip. Casa Lucille is a 1910 stone manor in Hastings-on-Hudson, 35 minutes from Grand Central, with 8,900 sq ft holding up to 75 and a full acre of landscaped grounds with a firepit. A dramatic center rotunda, cathedral-height ceilings and Hudson Valley views give a retreat real presence, and several breakout areas inside make it a working venue rather than just a scenic one, from $1,250 an hour. Casa ExĂmia in Sag Harbor is 5,000 sq ft on five acres, holding up to 300, with a pool, a rooftop deck and a gourmet kitchen, from $875 an hour. Both suit multi-day retreats rather than single-day offsites, mostly because of the travel time.

Whatever you book outdoors, settle the rain plan early. Either pick a venue where the full headcount fits indoors as a backup, or ask SuperConcierge to coordinate tents and electric heaters so the outdoor areas stay usable.

Why Book Your Offsite with Cocoon

Every booking comes with an on-site Casa Manager who coordinates the day, meaning vendor arrivals, building access, art moves and any troubleshooting on the day. Worth being precise about this one: Casa Managers coordinate rather than physically setting the room up, and full set-up is available as a paid add-on.

SuperConcierge covers the rest, coordinating food and beverage, bar setup, baristas, florals, live music, décor and equipment rental. Most teams booking through us do not have an events person in-house, which is largely what the service exists for.

If nothing above fits the brief, our Discovery Portfolio holds vetted venues we do not list publicly, including raw lofts, historic buildings, institutional spaces and trophy tower penthouses.

Booking Your Offsite

We say this a lot, but the venue really should work with your agenda rather than against it, and the quickest route there is to tell us the headcount, the format, your finish time and any access requirements before you start browsing. For more on narrowing the shortlist, our guides to choosing a corporate meeting venue in NYC and team workshop spaces for rent in NYC go deeper on the planning side. Browse Cocoon’s team building and offsite venues, have a look at our meeting spaces in NYC, or get in touch with the team and we will shortlist two or three of the best offsite team meeting spaces in NYC for your brief.

Frequently Asked Questions

What are the best offsite team meeting spaces in NYC?

It depends on headcount and format. For under 30 people, Casa Arbre in Williamsburg and Casa Aurora in Bushwick are the most economical. For 50 to 120, Casa Escondida, Casa Estrella, Casa Caeli and Casa Janka all work well. For 200 or more, Casa Duende and Casa Brutal are the two to start with, and Casa FM is the largest at 420.

How much does an offsite meeting space cost in NYC?

Our offsite meeting rates run from $275 an hour to $1,850 an hour, with most venues between $400 and $700. Eight-hour minimums are standard. Cleaning and Casa Manager fees are additional, as is NYC sales tax at 8.875 percent.

What is the most affordable offsite meeting venue?

Casa Arbre in Williamsburg, from $275 an hour with a six-hour minimum, which also makes it the lowest total booking cost on this list.

How far in advance should we book?

Four to six weeks is comfortable for a typical offsite of 20 to 60 people. For groups over 150, or for dates in October and November, we would suggest three months.

Which venues are wheelchair accessible?

Casa Arbre and Casa Brutal are ADA-compliant with street-level entrances. Casa FM is ADA accessible on the ground floor, with the mezzanine reached by stairs. Several others have passenger elevators without being ADA-accessible, so tell us your requirements when you enquire and we will confirm before you commit.

Can we run the offsite into the evening?

Most residential venues observe an 11pm curfew under NYC Mayor’s Office guidelines. Casa Duende has mixed zoning and can run until 2am, and Casa FM has a mezzanine bar and DJ booth for anything that carries on.

Do you support hybrid offsites?

Yes. Casa Aurora has Logitech Rally Bar systems and two-way cameras in all three conference rooms, and every venue here has high-capacity Wi-Fi with measured speeds we will share on request.
