Corporate Meeting Space in NYC: How to Choose the Right Venue

Would it be fair to say that, after you’ve scrolled through a dozen listings, most corporate meeting space in NYC can start to look identical?
I’ve spent the past few years booking offsites for teams of ten through to a hundred and twenty. Over that time, I’ve found that the right venue usually comes down to a handful of numbers you can get on a first call.
In this guide I’ll cover what these venues cost and how much floor you need per person. Then I’ll go through where to look in the city, what a venue should include, the accessibility and insurance questions, the eight unconventional venues I’d shortlist and how far ahead to book. Let’s go!
Explore our Top Venues and find the perfect space!
How much does a corporate meeting space in NYC cost?
Corporate meeting space in NYC costs $100 to $600 per hour for a conventional meeting room. A full-floor unconventional venue with a Casa Manager on site costs $275 to $1,850 per hour. A full day usually lands between $1,000 and $6,000.
Every quote carries New York City sales tax of 8.875% on top, and a cleaning fee as well. Those upper figures are for team building venues in NYC hired as a whole floor for the day.
Marketplace listings average around $180 per hour across the city. Most marketplaces then add a booking fee of 22% to 26% on top of that rate.
One thing to ask about early is the minimum booking. Almost every venue quotes an hourly rate with a block of hours attached, and a three-hour board meeting will still cost you the full block.
The minimums vary from one venue to the next. Casa Arbre runs a six-hour minimum, most of the others sit at eight, and Casa Strand asks for ten. I’d either build the agenda to fill the block, or pick the venue with the shorter minimum.
Pro tip: ask for each quote with cleaning, service charge, minimum hours and NYC sales tax of 8.875% included. Two headline hourly rates will rarely compare fairly on their own.
NYC corporate meeting venues compared by capacity and hourly rate
Here are eight Cocoon venues used for corporate offsites, ordered by hourly rate. Every figure comes from the venue’s own listing page, checked in September 2026.
Rates start from the listed figure and rise with headcount. For the full ranked list, with subway walk times and measured Wi-Fi speeds for each venue, have a look at our guide to the best offsite team meeting spaces in NYC.

How much space do you need per person?
Plan on roughly 10 sq ft per person for theatre-style seating, and 12 to 15 sq ft for seated rounds. A classroom layout needs 15 to 18 sq ft per person.
A U-shape, or any workshop where people move between stations, needs 30 to 40 sq ft per person. A team of 30 running a full-day workshop will want around 1,000 sq ft of usable floor, plus room for the catering table.
Those figures assume one room. If your day splits into breakout sessions, you’ll want separate rooms as well as the square footage. A lot of otherwise good venues come up short there.
Casa Aurora has three glass conference rooms with cameras already fitted. A team can split up for an hour and then come back together, with nobody hunting for a spare corner.
We say this a lot, but most teams book a room slightly too small and then spend the day working around it!

Location and the commute to your offsite
With 52% of remote-capable US employees now working hybrid, according to Gallup, an offsite is often the only day the whole team is in one room. With that in mind, I’d pick a venue within a ten-minute walk of a subway line your team already uses.
Casa Janka sits five minutes from Grand St and six from Canal St. Casa Victoria is three minutes from 18th St, and Casa Strand is two blocks from Washington Square Park.
It’s good practice to check those walking times against the MTA accessibility pages if anyone on the team needs a station with a lift. Station accessibility varies a great deal from line to line.
Spare a thought for the neighbourhood too! Williamsburg and Bushwick suit a creative session and usually cost a bit less per hour.
Chelsea and the Lower East Side put you nearer the restaurants people will want once the session finishes. If your team leans creative, our guide to SoHo event spaces covers that side of Manhattan in more detail.

What a corporate meeting venue should include
A corporate meeting venue should have a measured Wi-Fi speed and a projector or large screen with the right inputs. It should also have kitchen access for catering, and natural light. Those are the four things I check first.
On Wi-Fi, ask for the download speed in Mbps. Casa Escondida runs at 380 Mbps and Casa Aurora at 370 Mbps. Casa Duende measures 352 Mbps, and Casa Janka 280 Mbps.
A team of 40 on a video call at the same time will need a real number. We recommend up to 250 Mbps for a high-intensity day.
On AV, check the inputs as well as the screen. Casa Aurora has three TVs with Apple TV, plus HDMI and USB-C inputs.
Casa Duende includes a projector and a custom sound system in the rental. Casa Strand has an 85-inch Sony TV, with Sonos speakers in every room. Make sure to ask what’s included and what’s an add-on!
A meeting at Casa Caeli, where abundant natural light and a thoughtfully designed interior create a welcoming setting for focused conversations and collaborative work.
Accessibility and insurance at NYC meeting venues
A lot of NYC venues sit in older or residential buildings, and many of them are not ADA accessible. It’s good practice to confirm the entrance and the stair count first. You’ll also want to check for a lift, and the route to the bathrooms.
The 2010 ADA Standards for Accessible Design set out what an accessible route and entrance require. That’s useful to have in writing if someone on your team asks. Each venue’s access details are in its own entry in the shortlist below.
Every booking needs a certificate of insurance, known as a COI. A COI is a document from your insurer confirming that your company is covered for damage and injury during the booking.
Companies booking a corporate offsite provide their own COI through their business liability policy, naming the venue as additional insured. That is standard practice across the industry. I’d ask your finance or operations contact for it as soon as the date is held.
8 unconventional NYC venues I’d shortlist for a corporate offsite
1 – Casa Strand (NoHo, Manhattan)
Casa Strand is a 3,300 sq ft ground-floor triplex two blocks from Washington Square Park. It holds 50 people. Offsite bookings start from $775 per hour on a ten-hour minimum.
Floor-to-ceiling built-in bookshelves and skylights run through the house, a nod to its earlier life as a rare-books curator’s home. There’s an open marble kitchen with an island, and a media room.
An 85-inch Sony TV and Sonos speakers run through every room. The separate rooms across three levels mean a day can split into breakouts without a second venue.
Entry is at ground level, with a passenger lift in the building. Casa Strand is not ADA compliant, and there’s no loading dock.
Best for: small senior teams and board days in Manhattan that want a house to spread into.
An off-site meeting at Casa Strand, where warm lighting and comfortable seating create a welcoming atmosphere for brainstorming, collaboration, and team connection.
The spacious living and dining area offers a flexible setting for meetings, casual conversations, and team gatherings, making it easy to move between work and social moments.
2 – Casa Halloway (Williamsburg, Brooklyn)
Casa Halloway is a historic 1899 brownstone, reworked into roughly 4,000 sq ft across four floors. It holds around 100 people standing. Offsite bookings start from $975 per hour on an eight-hour minimum.
There’s a backyard of 800 to 1,000 sq ft and a roof deck of 500 to 800 sq ft. That gives you two outdoor areas for breaks.
Inside there’s a chef’s kitchen with an island and a home office. There are also a couple of distinct lounges the team can move between. Floor-to-ceiling windows carry daylight through the house.
Load-in is at ground level. There’s no lift, and Casa Halloway is not ADA compliant.
Best for: full-day team offsites in Brooklyn that want outdoor space on two levels.
Beyond its outdoor areas, Casa Halloway also features interior spaces with views of the garden, creating a bright and inviting setting for meetings and team discussions.
The outdoor space provides a refreshing change of pace, giving teams a comfortable spot to step outside, recharge, and connect throughout the day.
3 – Casa Arbre (Williamsburg, Brooklyn)
Casa Arbre runs to 1,100 sq ft, with 13-foot ceilings and floor-to-ceiling windows. It holds up to 75 people. Offsite bookings start from $275 per hour on a six-hour minimum.
The room is soundproofed and fitted with a 26-channel spatial audio system. There’s a café setup with granite countertops, and a green patio for breaks.
Casa Arbre is ADA compliant, with a street-level entrance on a single floor.
Best for: smaller strategy days where audio is part of the agenda, on the lowest hourly rate of the eight.
The bright, open space is designed to feel welcoming and adaptable, with high ceilings and natural light creating an inspiring backdrop for focused work.
The café area adds a relaxed touch to the space, offering a convenient spot for coffee, casual breaks, or informal conversations.
4 – Casa Aurora (Bushwick, Brooklyn)
Casa Aurora is 1,830 sq ft on a third floor, and it holds 60 people. Offsite bookings start from $335 per hour on an eight-hour minimum.
Three glass conference rooms come with cameras fitted for video calls. The main floor has three TVs with Apple TV, with HDMI and USB-C inputs.
There are Sonos speakers throughout, and a full kitchenette with a coffee machine. Access is by stairs or freight lift.
Best for: hybrid offsites where part of the team is dialling in and the day splits into breakouts.
The main room features a long table alongside a private glass-walled meeting room, creating two distinct areas for group discussions and presentations.
Two smaller private rooms offer quieter spaces for focused conversations and breakouts, with shared tables nearby for working between sessions.
5 – Casa Escondida (Prospect Heights, Brooklyn)
Casa Escondida is a 3,500 sq ft brownstone that holds 50 people. Offsite bookings start from $395 per hour on an eight-hour minimum.
There’s an open kitchen with full appliances, and marble fireplaces inside. Out the back, a private double-lot backyard has its own outdoor fitness area.
Wi-Fi runs at 380 Mbps. Load-in comes through the ground-floor entrance and mudroom.
Best for: full-day planning sessions where the team wants to get outside at lunch.
The spacious backyard offers a mix of seating and open space, making it easy to arrange tables, activities, or a custom setup for the group.
The kitchen and marble fireplace create a warm, inviting space, with views and direct access to the backyard adding to the connection between indoors and out.
6 – Casa Duende (Lower East Side, Manhattan)
Casa Duende is the largest of the eight, at 8,000 sq ft plus a 1,200 sq ft rooftop. It holds 200 people. Offsite bookings start from $426 per hour on an eight-hour minimum.
A semi-professional kitchen and a custom sound system come with the rental, along with a projector. The private rooftop has its own bar setup.
Mixed-use zoning means events can run to 2am, and that’s unusual for a townhouse. Access is by stairs, with no lift.
Best for: all-hands days for larger teams that carry on into the evening.
A long, plant-filled hallway creates a calm and inviting backdrop for working, with plenty of room to arrange the space around the needs of the day.
The private rooftop offers an open-air setting for working or taking a break, surrounded by fresh air and a change of scenery above the city.
7 – Casa Janka (Chinatown, Manhattan)
Casa Janka is 4,000 sq ft on the top floor, and it holds 120 people. Offsite bookings start from $625 per hour on an eight-hour minimum.
Skylights run through the space, and they black out for a presentation. There’s a kitchenette, and an AV projector with a sound system. A rooftop terrace looks out at the Manhattan Bridge.
A freight lift serves the top floor. Casa Janka is not ADA accessible.
Best for: creative workshops and team days where you’d like a room with some character to it.
A more relaxed area with a long sofa and smaller tables offers a comfortable spot for individual work or smaller groups, while staying connected to the rest of the space.
Four long tables create a layout suited to small groups, giving each team room to work together while maintaining their own workspace.
8 – Casa Victoria (Chelsea, Manhattan)
Casa Victoria is a 5,664 sq ft full-floor loft that holds 50 people. Offsite bookings start from $1,850 per hour on an eight-hour minimum.
There’s an open chef’s kitchen with two dishwashers, and a 51-foot floor-to-ceiling library. Sonos runs through every room, alongside three smart TVs with Apple TV.
There are four full bathrooms. A passenger lift and a free freight lift serve the loft, and 18th St is three minutes away.
Best for: board offsites and executive sessions with a client or investor in the room.
The library’s refined setting creates an executive atmosphere, with built-in shelving and a more intimate feel suited to focused conversations.
A long table and spacious sofa share the room, creating an easy transition between structured work, brainstorming sessions, and more informal conversations.
Beyond these eight, our Discovery Portfolio covers venues we don’t list publicly. It includes a historic Italian mansion on the Upper East Side, and a 15,000 sq ft warehouse studio in Brooklyn.

How far in advance should you book a corporate meeting venue?
Book a corporate meeting space in NYC four to six weeks ahead for most dates. For anything in the last quarter of the year, I’d book three months ahead.
Q4 is when a lot of companies in the city run their planning offsite and their holiday party, all inside the same eight weeks. The larger venues go first.
If your dates are fixed and the venue you wanted is taken, ask whether a weekday early delivery or late pick-up slot is available. Venues often allow it for a small fee, and it avoids the weekend surcharge that rental vendors add.
For outdoor sessions, our guide to outdoor event spaces in NYC covers rain plans. You can also see what one of our lofts looks like in the tour of Casa Luz.
Choosing your corporate meeting space in NYC
So, to sum up, I recommend that you get four numbers on your first call with any venue: the hourly rate with tax and the minimum included, the capacity, the square footage per person for your layout and the measured Wi-Fi speed. Get those four, and everything else will follow, whichever corporate meeting space in NYC you land on.
If you’d like a hand narrowing it down, browse our team building venues in NYC. Or get in touch with the team, and we’ll suggest a couple of Cocoon venues that suit your date, headcount, layout and budget. Let’s go!

How much does it cost to rent a corporate meeting space in NYC?
A conventional meeting room in NYC costs $100 to $600 per hour, and a full day runs $1,000 to $6,000. Unconventional full-floor venues with an on-site Casa Manager start at $275 per hour and reach $1,850 per hour for a Chelsea loft. NYC sales tax of 8.875% and a cleaning fee are added to every quote.
How much space do I need for a corporate meeting?
Allow 10 sq ft per person for theatre seating, and 12 to 15 sq ft for seated rounds. A classroom layout needs 15 to 18 sq ft, and a U-shape or workshop needs 30 to 40 sq ft per person.
A 30-person full-day workshop needs roughly 1,000 sq ft of usable floor, plus room for catering.
How far in advance should I book a corporate meeting venue in NYC?
Four to six weeks is enough for most dates. Book three months ahead for the last quarter of the year, when planning offsites and holiday parties compete for the same venues. Venues holding 100 or more people book furthest out.
What should a corporate meeting venue include?
A corporate meeting venue should include a measured Wi-Fi download speed in Mbps, and a projector or large screen with HDMI and USB-C inputs. It should also have kitchen access for caterers, and natural light. You’ll want breakout rooms if your agenda splits the group.
Are NYC meeting venues wheelchair accessible?
Many NYC meeting venues sit in converted or residential buildings and are not. Casa Arbre is ADA compliant, with a street-level entrance on a single floor.
Confirm the entrance, the stair count, the lift and the route to the bathrooms in writing. It’s also good practice to check station accessibility on the MTA site for anyone travelling by subway.
Do I need insurance to rent a meeting space in NYC?
Yes. A certificate of insurance is required for every booking. Companies booking a corporate offsite provide their own COI through their business liability policy, naming the venue as additional insured.
Can I bring my own caterer to an NYC meeting venue?
At Cocoon venues, yes. Casa Escondida and Casa Victoria both have full kitchens, and a caterer can plate on site with no mobile setup.
Our SuperConcierge team can also coordinate food and beverage, staffing, furniture and equipment if you’d prefer not to source it yourself.
What is the difference between a meeting room and an offsite venue?
A meeting room is a single space hired by the hour, usually inside a hotel or coworking building, with fixed seating and shared facilities. An offsite venue is a whole floor or building hired for the day.
An offsite venue comes with its own kitchen and breakout areas, and exclusive use for the day. At Cocoon, it also comes with an on-site Casa Manager who coordinates access and vendor logistics.
